Refund & Return Policy

This policy governs refunds for bookings made on bni-rajkot.in for BNI Business Expo 2027. Please read carefully before making a payment. By completing a booking you agree to these terms.

01  —  Overview

Overview

BNI Rajkot is committed to fairness and transparency in all financial dealings. We understand that circumstances change, and we have designed our refund policy to be as accommodating as possible while ensuring the sustainability of the event.

All bookings are for participation in BNI Business Expo 2027 — a physical event held in Rajkot, Gujarat. The ₹5,000 booking amount secures your spot and is fully adjustable against your final participation invoice.

02  —  Booking Amount

About the ₹5,000 Booking Amount

The ₹5,000 paid at the time of booking is a reservation deposit, not the full participation fee. It is designed to:

  • Confirm your serious intent to participate
  • Secure your preferred category (Sponsor / Partner / Stall Owner)
  • Lock in early-bird priority placement
  • Be fully adjusted against your final invoice upon confirmation

✅ The ₹5,000 booking amount is fully adjustable against your final participation invoice. It is not an additional charge — it forms part of your total payment.

03  —  Refund Schedule

Refund Schedule

Refund eligibility depends on how far in advance of the event date you submit your cancellation request:

60 to 90 days before event 75% of ₹5,000 — ₹3,750 refunded PARTIAL
30 to 60 days before event 50% of ₹5,000 — ₹2,500 refunded PARTIAL
Less than 30 days before event No refund — amount forfeited NO REFUND
Event cancelled by BNI Rajkot 100% full refund to all participants FULL REFUND

Event date is currently set for April 2027. The exact date will be announced. Cancellation timelines will be calculated from the officially announced event date.

04  —  Event Cancellation

If the Event is Cancelled or Postponed

In the unlikely event that BNI Business Expo 2027 is cancelled or postponed due to circumstances beyond our control (force majeure, natural disaster, government orders, pandemic, etc.):

  • Cancellation: 100% full refund will be issued to all confirmed bookings within 14 working days
  • Postponement: Your booking will automatically transfer to the new date at no additional cost
  • Postponement — opt out: If you cannot attend the new date, you may request a full refund within 14 days of the postponement announcement
  • Communication: All registered participants will be notified via WhatsApp and email immediately upon any such decision

05  —  How to Request

How to Request a Refund

  1. Email admin@bni-rajkot.in with subject line: "Refund Request — Expo 2027"
  2. Include your full name, registered phone number, Razorpay Payment ID, and reason for cancellation
  3. Our team will acknowledge your request within 2 working days
  4. Refund eligibility will be assessed based on the date of your email vs. event date
  5. Approved refunds are processed through Razorpay back to your original payment method
  6. You will receive a confirmation email once the refund is initiated
06  —  Refund Processing

Refund Processing Timeline

Once a refund is approved and initiated by BNI Rajkot through Razorpay:

  • UPI / Wallet: 1–3 working days
  • Debit Card / Net Banking: 5–7 working days
  • Credit Card: 7–10 working days (reflects in next billing cycle)

These timelines are governed by your bank and Razorpay. BNI Rajkot has no control over bank processing times once the refund is initiated from our end. You will receive a Razorpay refund reference ID for tracking.

07  —  Non-Refundable

Non-Refundable Situations

The following situations are not eligible for a refund:

  • Cancellations submitted fewer than 30 days before the official event date
  • No-shows on the day of the event without prior written cancellation
  • Failure to complete stall setup or participation without notice
  • Payments made in error where the event was clearly described and booking was confirmed
  • Requests made after the event has concluded
  • Razorpay convenience fees or payment gateway charges (these are retained by Razorpay)
08  —  Booking Transfer

Booking Transfer

Instead of cancelling, you may transfer your booking to another person or business from your organization. Transfers are permitted under the following conditions:

  • Transfer requests must be submitted at least 30 days before the event
  • The new participant must register on our website and provide their details
  • Category and stall type must remain the same as the original booking
  • One transfer per booking is permitted — no chain transfers
  • Email admin@bni-rajkot.in with both parties' details to initiate a transfer
09  —  Disputes

Payment Disputes & Chargebacks

We encourage you to contact us directly before raising a chargeback or payment dispute with your bank. We are committed to resolving all issues fairly and promptly.

  • Contact us at admin@bni-rajkot.in before filing a bank dispute
  • Most issues are resolved within 5 working days
  • In case of technical errors (double payments, incorrect amounts), we will issue an immediate full refund
  • All disputes are subject to jurisdiction of courts in Rajkot, Gujarat, India

Razorpay's dispute resolution process will apply for any chargebacks filed through your card network. We maintain complete payment records and will cooperate fully with any investigation.
